In this newly created Executive Assistant position based in Auckland’s CBD you will play a very important part in the smooth running of the business by being the go to person for the Chief Operating Officer (COO) and the Chief Investment Officer (CIO). Being organised, a top notch communicator and able to maintain confidentiality will be your key strengths to ensure you can provide them the support they need to get on with their day. In this varied role you will manage the day to day business of the COO and CIO whilst also being support to the Board and Board Sub-Committees. The role will include:

  • Providing full Executive Assistant support to organise all aspects of the Executives business day
  • Proactive diary management
  • Screening of phone calls and emails
  • Assisting with reports and presentations
  • Expense reconciliation
  • Maintain the client database
  • Managing travel arrangements for the Executives
  • Conference and seminar planning including audio conferencing
  • Compilation of minutes and agendas
  • Assisting in strategic planning activities
  • Build and maintain effective relationships with both internal and external stakeholders
  • Project work

To be successful in this important position you will have the following skills and experience:

  • Professional communication – both written and oral
  • Ability to multi task and prioritise
  • Previous experience working at Executive and Board level
  • Able to build effective relationships
  • An eye for detail
  • Excellent problem solving skills
  • A confidential approach to your work
  • Able to work independently with discretion
  • Plenty of initiative and a positive attitude
