In this newly created Executive Assistant position you will work with a group of highly intelligent Executives. This exciting business invest in the early stages of leading technologies with a management team made up of specialists in venture capital, technology commercialisation and entrepreneurship.

The company has offices in Dunedin, Christchurch, Wellington and Auckland. The team in Auckland consists of 1 Executive, 1 Investment Manager and soon to be an Executive Assistant (that will be you!). A large majority of your day will be supporting the Chief Operating Officer based in Auckland; there will also be the occasional support required to the Chief Information Officer who is Christchurch based.

In this busy and dynamic position you will be responsible for managing the affairs of the Executives and providing efficient secretarial and administration support, whilst also supporting the Board and Board Sub-Committees. The duties and responsibilities will include:

  • Assist and support the Executives, being their right hand person
  • Diary, email and travel management
  • Reconciling expenses
  • Minute taking
  • Project work
  • Administration
  • Compilation of board papers
  • Organise overseas audio conferencing
  • Preparation of reports, correspondence and presentations
  • Assisting in strategic planning activities
  • Liaise with a variety of stakeholders

To be successful in this important executive assistant position you will have the following skills and experience:

  • Confident on the Microsoft Suite, experienced using Google Docs, InDesign experience also highly regarded
  • Previous experience working at Executive and Board level
  • Confident and client focused
  • Plenty of initiative and problem solving skills
  • A high level of maturity and confidentiality
  • A can-do attitude and committed to meeting deadlines
  • Able to work with minimal supervision
  • Excellent presentation and interpersonal skills
  • Well-developed written communication skills
  • Ideally come from a legal, financial, technology or similar industry background
