This organisation are seeking a professional and personable Receptionist / Administration Assistant to be the welcoming first point of contact for clients and visitors. This is a key role supporting advisers and the wider team, ensuring the office operates smoothly and clients receive exceptional experience and service.
This position would suit someone who enjoys variety, takes pride in presentation, and thrives in a collaborative, professional environment.
You will be responsible for front-of-house reception duties while also providing essential administrative support across the business. Accuracy, discretion and a proactive approach are essential, particularly when handling confidential client information. Key duties and responsibilities include:
- Greet clients and visitors in a friendly, professional manner
- Answer and direct incoming calls efficiently
- Assist with refreshments, catering, meetings, and events
- Manage incoming and outgoing mail and deliveries
- Liaise with external office service providers
- Maintain a tidy and well-presented reception area, meeting rooms and client spaces
- Order office supplies and manage inventory
- Coordinate repairs and maintenance
- Assist with travel and meeting room bookings
- Assist with financial services reporting, including collection and filing of client records
- Maintain and update client records
- Maintain internal websites with daily and ad-hoc uploads
To be successful in this Receptionist / Administration Assistant role, you will have:
- Proven experience in a reception and administration role
- Professional, friendly and approachable with a positive, can-do attitude
- Strong organisational and time management skills
- Excellent verbal and written communication skills
- High level of discretion and ability to handle confidential information
